Village Exhibitions & Events (Pty) Ltd specialise in the management and co-ordination of all event, conference and exhibition aspects. Our skills and services include the following:

  • Organise and manage special functions i.e. exhibitions, conferences, banquet, dinners, launches, road shows, golf days, corporate functions, exhibition stand design and construction.
  • Technical design of events including floor plan layouts, design and construction of staging, lighting, special effects, equipment hire and provision of technical services such as audio visual equipment, communications equipment, sound systems, taping and transcriptions, video, photo and audio recording.
  • Communication and conceptualisation services such as: design of an event logo, develop an event theme, design and layout of event brochures and invitations, artwork and layouts inclusive of graphics for branding and other promotional items.
  • Information and documentation services including; document reproduction services, information centres, event material, rapports, transcriptions, interpreters, event brochure and final reports.
  • Logistical services such as: registration of delegates / guests, manage necessary protocols, supervision of catering, cleaning services and security, provision of decorative services including draping, displays, plant and floral arrangements.
  • Sales of exhibition space and / or sponsorships resulting in additional income for the event and in some cases ensure the event is self-funding.
  • Brief and direct the public relations / marketing / advertising agencies on goals and objectives related to the function to obtain maximum coverage from all relevant media.
  • Delegate services such as: travel, transfer and accommodation arrangements.
  • Ensure all disaster and risk management plans are in place and have been agreed with the official government department.
  • Ensure that facilities are made available for people with special needs.
  • Accounting and financial management of all events.
  • In depth protocol knowledge – state, international and royal.
  • Developing a comprehensive event operating plan, timeline and budget.
  • Management of political events.
  • Develop and implement promotional and integrated marketing campaigns in line with the clients goals and objectives.

For each event Village Exhibitions & Events will develop and provide a comprehensive budget and an event-operating plan (time frames) giving a detailed breakdown of “Critical Dates” including the task, start dates, finish dates, duration dates and persons / organisations responsible for the task.
